How to update an Item – option 1

Introduction

To follow this guide, you first need to create an item (see How to create an Item) and allocate it to a facility (see How to allocate an Item to a Facility – option 1 or option 2 – available soon).

The quantity of an item allocated to a facility, together with any attributes attached to it (i.e., expiry date), can be updated as frequently as desired.

If you don’t see any changes from one step to the next, try to refresh the page.

The actions described in this guide can be performed by: Super Admin, Admin GA, Facility Manager, Admin GA Donor, Facility Manager Donor.

Step-by-step guide

1. Open the Manage Data section on STOCKHOLM platform.

2. Select Item List.

3. Open the Item you want to update by clicking on the blue pencil icon. We are going to work on the item “Shirt” that we created in the guide How to create an Item.

4. A pop-up window will appear. All the facilities to which the item has been allocated will display. In our example, the item “Shirt” has been allocated to Test Facility Nepal – Bagmati and Test Facility Nepal – Province 1.

5. Identify the facility where the item needs to be updated. You can also use the search bar to look for a specific facility more quickly.

Then click on the “EDIT” button with blue pencil icon for the selected facility. We are going to edit the quantity of our “Shirt” item in Test Facility Nepal – Province 1.

6. The fields will become editable. You can now edit the number indicated in the “actual stock level” field. You can also edit any other fields as needed.

We updated our item quantity, changing it from 800 to 300. We left the other fields as they were.

7. Don’t forget to save!

Next steps

Your item is now updated in one facility. If the item is allocated to several facilities, repeat the steps from 5 to 7 for every facility where the item needs update.
